Reports, statistics and website traffic

What it is

Two items in the left menu of the website administration:

Reports

The screen has four tabs. Which of them you see depends on your plan:

Accommodation fee

A monthly overview of the local fee (tourist tax) due to your municipality. The amount is calculated automatically from completed and active reservations.

You see:

  • Amount due to the municipality - running total for the current month.
  • Overnight stays - the number of nights × guests.
  • Rate / guest / night.
  • History by month.

Three things worth knowing:

  1. The system only records the amount. You file the payment to the municipality yourself.
  2. Deduct exemptions manually. Children, seniors or disabled guests per your municipal ordinance - deduct them when filing.
  3. You set the rate in Settings, not here - see Accommodation fee and VAT. Until it is set, the amount is 0.

If you have a percentage rate, the monthly amount is not shown - it only appears with a fixed rate per guest per night.

Occupancy and revenue

Advanced analytics

From the Premium plan. These are the metrics hotels use:

You will also find:

  • How far ahead guests book - the number of days between booking and arrival. Trust the median, not the average - a single booking a year ahead can pull the average up.
  • Where bookings come from - directly via your website versus manually. Nights from portals (Booking, Airbnb) are shown separately. We do not know the revenue from them, so they do not feed into RevPAR and ADR.
  • Booking funnel - of the guests who opened the booking form, how many finished it, and at which step most dropped off.
  • Guests and extra beds - whether the extra guest fee pays off.
  • No-shows - kept separate from cancellations, including forfeited deposits.
  • Changes to reservations - moves to another room, extended stays, early departures.

Two things these numbers do not tell you:

  • The funnel is not a share of website visits. We do not track visits.
  • We do not track how many website visitors end up booking. Traffic is measured by Google Analytics in your own account and we have no access to those numbers.

Guest register

From the Standard plan, because the details come from digital check-in - without it we have no source for a guest's nationality or ID document.

The statutory register of accommodated guests and the source data for reporting foreign nationals. You pick a period and who you want to see:

The list shows the name, address, date of birth, nationality, ID document and the dates of the stay. The Download CSV and Download Excel buttons give you exactly what is filtered.

Unrecognised guests. The guest enters their nationality as free text, so sometimes the country cannot be determined from it. Those guests are highlighted and counted as foreign nationals - better to review them than to have them drop out of the report.

The Czech Ubyport report

If you provide accommodation in Czechia, the Ubyport report (CZ) button downloads a .unl file in the format the foreign police accept. It always contains only foreign nationals for the selected period, regardless of the filter you have set - they are the only ones that get reported.

First fill in the identifiers assigned to you by the foreign police, under Settings:

Without an IDUB the report is not generated - the police would not know which property it belongs to.

You upload the file to Ubyport yourself. The login credentials are yours, we do not have them, so we do not file the report on your behalf.

The Slovak foreign national report

The Slovak MoI report (XML) button downloads a file for the Zápis do knihy ubytovaných service at portal.minv.sk. It likewise contains only foreign nationals for the selected period.

First fill in the Property identifier under Settings. You will find it on the portal in the Výber hotela/ubytovacieho zariadenia step, in the ID zariadenia column. Without it the report is not generated.

On the portal choose Import knihy ubytovaných zo súboru and upload the file. The submission is signed with an eID card (qualified electronic signature), so we cannot file it for you - you need a card reader and your BOK code.

Guests whose country cannot be determined are left out of the XML. Nationality is mandatory in this report, so including them would get the whole file rejected. If the export fails, fix the highlighted rows in the register and try again.

Place of birth is filled in from the guest's address. The portal requires it but we do not collect it at check-in, so the town of permanent residence the guest entered is used. Review it on the portal before submitting.

You remain responsible for the accuracy of the data, checking documents and filing the report. We prepare the source data; we do not file it with the authorities.

The Export button downloads the report:

Website traffic

A separate item in the menu. It connects your website to traffic measurement so you can see how many people visit and where they came from.

It is available on all plans.

You choose one of two measurement methods. They are mutually exclusive, so that events are not measured twice:

  1. In the left menu open Website traffic.
  2. Choose the Tracking method.
  3. Paste the relevant ID. Where to find it is described under the How to set up Google Analytics / GTM? button.
  4. Click Save tracking settings.

You can switch measurement off at any time with the Disable tracking button.

What is measured

Page views, room details, the start of a booking and the completion of a booking.

We do not send the guest's name, e-mail or phone to Google.

Measurement only starts after the guest consents

The scripts load only once a visitor accepts analytics cookies in the cookie bar. If they decline, the scripts do not load at all, and if they withdraw consent, further measurement stops.

You then watch the data in Google Analytics, not with us. We have no access to it.

Common problems

The fee amount is 0. You have not set a rate. Set it in Settings → Accommodation fee.

The amount does not match what I have to pay. The system does not deduct statutory exemptions (children, seniors, disabled guests). Deduct them when filing.

I can only see 3 months of history. You are on the Basic plan. Standard and Premium have 12 months.

The Occupancy or Advanced analytics tabs are locked. The first is from Standard, the second from Premium.

I do not have an Export button. Export is from the Standard plan.

My RevPAR comes out low even though I am full. Check whether a large share of your nights come through the portals. Those do not feed into RevPAR - we do not know their revenue.

The funnel is empty. Nobody has opened the booking form yet. The numbers start collecting automatically.

I cannot see anything under Website traffic. The data is in your Google Analytics account. Here you only paste the tracking code.

Measurement is not recording anything. Check two things: that you pasted the correct ID (G- for Analytics, GTM- for Tag Manager), and that the visitor accepted analytics cookies. Without consent measurement does not start. New tracking also takes a few minutes to appear in Google - test it in Realtime mode.
