Calendar, blocking and stop-sale
What it is
The second view on the Reservations screen. You switch to it with the Calendar button in the top right. It is a timeline: rooms in the rows, days in the columns.
It is part of the Standard plan and above.
Why you need it
In the list you see reservations one at a time. In the calendar you see a whole month at once - where the gaps are, where you are full and where you have been left with an unsellable single day.
How to read the colors
| Color | Meaning |
|---|---|
| Free | Nobody is there |
| Partially occupied | Some rooms of that type are sold |
| Occupied | All rooms of that type are sold |
| Awaiting confirmation | The reservation is in the New status |
| Blocked | Closed for maintenance |
| Not sold online | Withdrawn from sale, the room is free |
| Date conflict | Taken on a portal too |
Occupancy from an external calendar (Booking, Airbnb) is marked separately.
Controls
- Click an empty cell - creates a new reservation for that day and room.
- Drag across free days - closes the dates (maintenance or stop-sale).
- Click an occupied cell - opens the reservation detail.
- The Today, Previous period and Next period buttons move the view.
Two kinds of closed dates - do not mix them up
When you drag across free days, the system asks which type you want:
Block room (maintenance)
The room is out of service. The dates cannot be sold or booked in the website administration.
You use it during a refurbishment, a breakdown, painting.
When blocking you fill in the Reason - for example "renovation". You remove it by clicking the block and using the Remove block button.
Stop online sales (stop-sale)
The room stays available. Guests do not see it on the website, but you can still book it.
You use it when you are holding the dates for somebody in particular, or when you do not want to sell the last day and be left with an unsellable gap.
You can apply a stop-sale to the Whole property too, not just one room. You remove it with the Resume online sales button.
The difference in short
| Blocking (maintenance) | Stop-sale | |
|---|---|---|
| Guests see it on the website | no | no |
| You can record a reservation | no | yes |
| Typical reason | refurbishment | held dates |
Blocking after a guest no-show
When you mark that a guest did not arrive and you do not tick the release of the room, the room stays blocked for the rest of the stay. In the calendar you see a note that it is blocked because the guest did not arrive, and an Edit reservation button.
Yield in the calendar
If you have the Premium plan and price recommendations switched on, you also see lower price, hold and raise price marks in the calendar. The Open yield link takes you to the suggestions screen - see Yield - price recommendations.
Common problems
My calendar view is locked. It is part of the Standard plan and above.
I cannot block the dates. A reservation already exists in the selected period. Deal with it first.
I blocked a room and now I cannot record a reservation on it. You used blocking (maintenance), which forbids booking. If you only wanted to take the room off the website, remove the block and use a stop-sale.
The day is partially occupied but a guest cannot buy it. Check the stay restrictions - a minimum number of nights or permitted arrival days may be ruling those dates out.
I see a cell marked as a conflict. The dates are taken on a portal too. Deal with it straight away, see Calendar synchronisation.
