Accommodation fee and VAT

What it is

Two blocks in Settings of the website administration: Accommodation fee and VAT.

They are available on all plans.

Accommodation fee

What it is

The tourist tax your municipality collects for every person accommodated per night. If you switch it on, the system adds it automatically in the booking summary.

How to set it up

  1. In the left menu open Settings.
  2. Find the Accommodation fee block.
  3. Turn on Collect accommodation fee.
  4. Choose the Rate type:

  1. Enter the Rate amount. According to your municipality's regulation - we do not know it and do not make it up.
  2. Save.

When the fee is switched on, the guest sees it as a separate line item at payment. It is not hidden in the room price.

Exemptions (children, seniors, disability)

Most municipalities exempt someone from the fee. In the Fee exemptions block you set the limits according to your municipality's regulation:

An empty field means the rule is off. Not zero.

An exempt guest is not counted towards chargeable nights, so the fee goes down. The accommodation price does not change - the room costs the same.

Exemptions have no effect on a percentage rate. The fee is then calculated from the stay price, not from the number of people. This is not a bug - an exempt guest has nothing to deduct from the room price.

Age is counted as of the arrival date, not today's date. The system recognises children from the age bands in your pricing, but only when the whole band is below your limit. A "13+" band with no upper limit is not exempted.

You find the amount due to the municipality in Reports

The system records the fee collected monthly. You will find it in the left menu under Reports → Accommodation fee.

You handle the actual remittance to the municipality. We do not send the money anywhere, we only record it.

VAT

What it is

If you are VAT-registered, you switch that on here.

What happens

Nothing is recalculated. The room price you entered in your pricing already includes VAT.

All that is added is a VAT note in the pricing, at booking and on the payment receipt, plus a breakdown on the receipt.

How to set it up

  1. In Settings find the VAT block.
  2. Turn on I am VAT-registered.
  3. Enter the VAT rate applicable to accommodation services.
  4. Save.

If you have an accounting system connected

VAT is set separately there, with the I am VAT registered toggle in the connection - see Documents and connecting an accounting system. It decides whether VAT appears on the invoice.

Set it the same way in both places, otherwise your receipt and your invoice will contradict each other.

Common problems

I do not know what fee rate to enter. It is set by your municipality's regulation. Find it out at the municipal office - we have no way of knowing it.

A guest asks why they are paying extra. The accommodation fee is a legal obligation, not a surcharge of yours. They see it as a separate line item in the summary, so it is clear.

The fee was not added. Check that the Collect accommodation fee toggle is on. Existing reservations are not recalculated retrospectively.

I switched VAT on and the prices on the website changed. They should not have. VAT does not recalculate anything - the price from your pricing already includes it. If you need a different final price, adjust your pricing.

The fee report does not match what I collected in cash. The report is calculated from reservations. Check that you have all cash payments recorded through Mark as paid.

I set an exemption and the fee did not change. You have a percentage rate - exemptions have no effect there (see above). With a fixed rate, check that the child is in a band that is entirely below your limit.

Older reservations still have the old fee. That is intended. The fee is stored at the time of the reservation, so a later change to the rate or to the exemptions does not rewrite historical reservations.
