Rooms - types, quantity and amenities

What it is

The Rooms screen in the website administration. It is where you add the room types guests will see on the website and be able to book.

Why you need it

Without at least one room with a price, a guest has nothing to book. It is the first thing you set up after launching the website.

Room type versus physical room - read this

This is the most important thing on the whole screen and the most common source of confusion.

You do not add every room separately. You add a room type - a category. Then you say how many rooms of that kind you have.

An example: you have 6 double rooms, 2 apartments and 1 family room. You create three types, not nine:

Dates show as occupied to guests only once all rooms of that type are taken. So with six double rooms, six reservations can come in for the same week.

How to add a room type

1. In the left menu open Rooms.
2. Click Add room type.
3. Fill in the Room name - for example "Double room".
4. The Web address is created automatically from the name. Change it only if you know why - it has to be unique.
5. Write the Short description (max 160 characters). It appears on the room card, it is 1-2 lines.
6. Write the Detailed description - that one is on the room page.
7. In the Parameters block fill in:
   • Number of rooms of this type
   • Max guests
   • Area
   • Beds - for example "1 double bed"
8. In the Amenities block tick what the room offers. It appears as tags on the card and on the room page. You add your own item in the Add custom amenity field.
9. Click Save room.

The price is not set here. You set it in the Pricing section.

Room photos

Photos are uploaded on the room itself, in the Room photos block:

1. Click Upload photos.
2. Use the star to choose the cover photo - the one the guest sees on the room card.

Photos are resized automatically and stored in WebP format. They count towards your photo storage together with the gallery.

Individual room names

The Individual room names field is for what your staff call the rooms - "101", "103", "Attic". The numbering can have gaps.

If you leave the field empty, we will fill the names in for you.

Reception then uses them to assign a guest to a specific room on a reservation.

Room amenities versus property amenities

Two different things:

• Room amenities are set here. A balcony, a TV, a bathroom.
• Property amenities are set on the portal in the property detail. A pool, a restaurant, parking. Guests filter by them in the catalog - see The accommodation catalog.

The order of rooms on the website

You change the order by dragging a row in the list.

Hiding a room

Turn off the Show room on website toggle and the room disappears from the website. It cannot be booked, but it stays saved with you including its reservations and history. You can bring it back at any time with one click.

This is used during a refurbishment, for example.

Deleting a room

Deletion is irreversible - the room, its photos and its description all disappear.

If the room has upcoming reservations, we warn you and list them. We offer you Hide room instead. If you insist on deleting, you click Delete anyway.

A recommendation: hide rather than delete. Hiding does the same thing outwardly and can be undone.

How many rooms your plan allows

Physical rooms are counted, not types. Three types with quantities 6, 2 and 1 mean 9 against the limit, not 3.

You can see the current state at the top of the screen: "Using X of Y rooms".

Common problems

I cannot add another room. You have reached your plan's limit. You set a higher plan on the ubytora.com portal.

I reduced the number of rooms and some were not removed. Those rooms have a reservation or an open issue on them. The system lists which ones. Deal with them first, then reduce the number again.

The room is on the website but cannot be booked. Check that it has a price per night filled in under Pricing.

A guest booked a room somebody else already had. Check the Number of rooms of this type. If it says 6, the system allows 6 concurrent reservations - that is how it should be.

I deleted a room by mistake. Deletion cannot be undone. The room has to be created again including its photos.
